PROGRAM ASSOCIATE
The Union Square Awards was established in 1998 by an anonymous donor to support grassroots activists in New York City working toward social justice. In 2006, an Arts Award program was launched to support arts organizations working with youth and families in the City’s low-income communities. The Union Square Awards offers recipients regrants and comprehensive technical assistance. Since its inception, the Union Square Awards has granted over $15 million to more than 200 grassroots organizations.
The Union Square Awards distributes approximately 50 grants annually and sponsors a range of technical assistance workshops and activities throughout the year. The Program Associate participates in all aspects of the organization and is primarily responsible for grants administration and technical assistance program support. The Program Associate reports directly to the Executive Director and works with a four-person staff in an environment that encourages collaboration, excellence, and public service. Specific areas of work and responsibilities include:
GRANTS PROCESSING & ADMINISTRATION (60%)
• Processes all grant contracts and financial documents from notification through reporting to ensure legal, financial, and other due diligence requirements are met.
• Prepares contracts and related financial documents in accordance with organization’s mission and guidelines.
• Monitors grant payment and reporting schedules; produces detailed status reports.
• Assists with intake and tracking of nominations, proposals, and reports.
• Composes and sends a variety of program correspondence including notification letters and report reminders.
• Assists with preparation of grant dockets for selection panel review.
• Maintains grantee files and keeps database records up-to-date.
TECHNICAL ASSISTANCE PROGRAM (25%)
• Sends workshop announcements to grantees and handles registration processes.
• Tracks attendance and produces participation reports.
• Synthesizes participant evaluations for annual program assessment.
• Processes consultant and vendor contracts.
• Maintains technical assistance program files and keeps database records up-to-date.
ADMINISTRATIVE ASSISTANCE (15%)
• Assists Executive Director with correspondence, reports, and scheduling.
• Screens telephone calls, maintains phone log, and directs inquiries from grantees.
• Handles logistical preparation for meetings and conferences.
• Assists with special events and other projects as needed.
EXPERIENCE AND QUALIFICATIONS
A successful candidate will meet the following required qualifications:
• Demonstrated commitment to Union Square Awards' mission.
• Bachelor’s degree or equivalent.
• Minimum 2 years experience with grants or program administration in non-profit sector.
• Demonstrated proficiency in MS Office Suite and Internet-based research.
• Exceptional organizational and administrative skills.

• Ability to maintain confidentiality and apply sound judgment in handling discreet matters.
• Solid teamwork orientation with ability to work independently.
COMPENSATION: $40K per year with competitive benefits package.
