ADMINISTRATIVE ASSISTANT

Established in 1998 by an anonymous donor, the Union Square Awards supports grassroots activists and organizations in New York City. The Awards identify and provide support to nonprofit organizations that have not yet received substantial funding or recognition but that are making notable contributions to the City. Since its inception, the Union Square Awards program has made more than $15 million in awards and grants to over 200 organizations.

The Union Square Awards is seeking a part-time Administrative Assistant with strong organizational skills who reports to the Executive Director. The staff consists of five members working in a highly collaborative and organized workplace to meet the needs of community and grantee organizations.

SPECIFIC RESPONSIBILITIES:

  • Processes invoices and bills; submits purchase requisitions and other financial documents needed for payment; ensures invoices are paid in timely manner.
  • Handles monthly credit card reconciliation.
  • Files correspondence and invoices and ensures that files are organized and up-to-date.
  • Maintains office equipment and supply inventory; orders supplies as needed.
  • Inputs and updates information in databases.
  • Handles production process for reports and grants panel materials.
  • Coordinates bulk mailing projects.
  • Assists with special projects and events.
  • Other administrative duties as needed and assigned by the Director.

QUALIFICATIONS:

  • Bachelor’s degree or equivalent experience.
  • Minimum two years administrative experience.
  • Demonstrated experience with office procedures, practices and systems in non-profit sector.
  • Familiarity with budgeting processes.
  • Excellent computer skills including working knowledge of MS Word, Excel, and Access or comparable database program.
  • Strong oral and written communication skills.
  • Detail-oriented and able to handle variety of tasks in a competent and timely manner.
  • Ability to follow directions with a high level of accuracy.
  • Demonstrated high-quality work ethic: strives to do the best work at all times.
  • Strong team player who is also capable of working independently.

HOURS & COMPENSATION: 14 hours per week; $20 per hour.
